Room bookings

Reuben College has a variety of different types of rooms to book:

  • Those bookable by the general Reuben community only (including Fellows, students and staff) - Ground Floor Meeting Room, Abbot's Kitchen Function Room (NB: this room is unavailable until December 2023), Dining Hall, and Lecture Theatre.
  • Those bookable by students only - First Floor Common Room.
  • Those bookable solely through the Events Office - Abbot's Kitchen Function Room (NB: this room is unavailable until 2024), Dining Hall, and Lecture Theatre.
  • Those predominately for staff meetings (please enquire for use of these through the Events Office) - Academic Office Meeting Room, President's Meeting Room, and Cozy Cove. 

In order to allow enough time for room preparation, we require a minimum of 5 working days' notice for the booking of a room, and 2 weeks for the booking of catering.

Bookings must be made during the College's opening hours: 8am-10pm on Monday-Friday, 10am-10pm on Saturday & Sunday (Michaelmas Term 2023).

For the Reuben community

These rooms are bookable by the Reuben community - which includes Fellows, students and staff.

Please check availability on the room bookings calendar and read the terms and conditions of bookings before submitting a booking request. Any bookings requested that are not for College business will likely incur a room booking charge.

You can request a room via the Room Booking Request form. Please note completing this form does not automatically confirm the room has been booked for you. Your request will be sent to the Events Team for approval.

Abbot's Kitchen Function Room

Capacity 52 seated
Description This formal space is predominately used for college meetings and formal occasions, but can be hired for private events. 
Booking restrictions This room will not be available for booking until 2024. Bookings to be made for formal occasions only.
Booking requests should be made by the Room Booking Request Form.

Dining Room

Capacity 162 seated, 200 standing
Layout Laid out for informal student study, for weekday lunches, or evening events such as Formal Halls and ‘Dining with Dinosaurs’. Can be booked outside of these times.
Description For large events. There is a large LED Wall on the south side and would primarily be used for large Q&A panel discussions or presentations.
IT equipment
  • 3.84(w) x 2.16m (h) LED Wall 

  • Lapel and/or handheld microphones 

  • Streaming live events to Teams or for recording to upload to YouTube 

  • Repeater screens and speakers on each side of the dining hall for large events 

Booking restrictions Bookings to be made for formal occasions only.

Ground Floor Meeting Room

Capacity 8 seated
Booking terms and conditions Reuben community
Description For small meetings in table format.
IT equipment
  • 55 inch screen 

  • Meeting OWL available which will connect to the screen. This provides a 360° camera/microphone/speaker so that all attendees can participate with only one laptop/user connected to the device. 

Booking requests should be made by the Room Booking Request Form.

Lecture Theatre

Capacity 50 people seated
Booking terms and conditions Can be booked by the Reuben community in term time, via the Events team. It can also be privately hired outside of term time.
Description This space has a lectern and desk in front of three screens. Tiered seating in a theatre format, to be primarily used for seminars.
IT equipment
  • 3x 98 inch screens  

  • Lapel and/or handheld microphones 

  • Streaming live events to Teams or for recording to upload to YouTube 

Booking restrictions Bookings to be made for formal occasions only.
Booking requests should be made by the Room Booking Request Form.
For Reuben students

Please check availability on the room bookings calendar, and read the student terms and conditions of room bookings, before submitting a booking request. 

First Floor Common Room

Capacity 220 approx.
Booking terms and conditions

Bookings for this room must be signed off by the Events Office and by one of the GCR Exec members.

Please note that the common room will not be able to be booked on an exclusive basis, and will remain open for access.

For Reuben staff only

These rooms are predominately to be used for staff meetings.

You can enquire for use of these through the Events Office.

Academic Office Meeting Room

Capacity 6 seated
Booking terms and conditions Academic Office (or with approval from the Events office)
Description For small meetings.

Bookable terms and conditions To be booked by Reuben staff for ad-hoc needs, on Mondays, Tuesdays, and Fridays. The room will be used for the Welfare Dean's Consultation hours on Wednesdays and Thursdays.
